Four Ways ADSTRA Dental Software Works Well For Both Denturists and Hygienists

ADSTRA iForms – An Easy-To-Use Digital Document Software Solution

Freeing your front-desk staffs time from tedious tasks, such as inputting patient information from paper forms, is just one of the many benefits of creating a paperless dental practice.

An often-overlooked hurdle to going paperless is the multitude of different forms that a dental practice needs, not only to provide a great service to its patients – but to comply with all applicable professional regulations and to protect itself from any legal action.

ADSTRA dental software includes ADSTRA iForms, an easy-to-use digital document software solution with the capability to:

  • Create digital forms that can be filled out on tablets
  • Modify and verify digital forms
  • Organize the digital forms by group/type
  • Store the digital forms within each patients file
How Does ADSTRA iForms Work?

Patient-with-ipad-and-iForm

Step One: Form Creation

Create custom forms tailored to your dental practice’s needs in the Forms Template builder within ADSTRA iForms. The Forms Template builder uses a building block approach that enables a dental practice to create any type of form required.

The builder allows the dental practice to include different types of content onto a form such as: plain text, a question that will capture a written response, a Yes or No question with an option to also capture a text response, a multiple-choice question, the ability capture phone numbers and/or dates, and finally a place to capture signatures.

Step Two: Form Management

Organization of the forms you’ve created is essential in developing a seamless workflow. The Forms Manager within ADSTRA iForms is used to assign single or a group of forms created in the Forms Template builder to patients to be filled out. A mobile device can then be given to the patients, on which they will open and fill-out their required forms*.

Once the patient has completed their part by filling out all of the necessary information on the forms, the dental practice will review the submitted forms.

The Forms Manager allows the reviewer to:

  • Accept and save the form as a document in the patient’s file
  • Keep the form active if a provider is required to fill-out additional information (after which they will save it to the patient’s file)
  • Directly make edits and then save to the patient’s file
  • Give the form back to the patient to make any additional changes after speaking with the patient – then review and save to the patient’s file

When the forms contain critical medical information, and this information could be relevant to the dental treatment record, just keeping a document copy in the patient file isn’t enough. That is why when using ADSTRA iForms, it is also possible for a form to automatically be saved in the patient’s Clinical Notes. This gives the provider an easier access to vital patient information when treating a patient.

ADSTRA iForms is just one more reason why dental practices who wish to go paperless should look at the ADSTRA dental software solution to help them accomplish this (sometimes thought of daunting) task.

* For forms that require entering a lot of text, we recommend a device that has a keyboard attachment.

ADSTRA Clinical also allows creating fillable forms to be completed by patients on a tablet, which will be automatically imported into ADSTRA Clinical as a note once the provider has reviewed and approved them. The information from these forms can then be extracted via the Forms Templates screen and used for research purposes, as well to establish trends to determine how to better serve your patients. Additionally, the forms can be grouped, making it easier to assign them for completion.

ADSTRA takes pride in ensuring patient information is kept safe and secure and ADSTRA Clinical follows suit. Various features are password protected, and users are assigned roles. These roles grant users permission to complete only certain tasks or functions such as the creation of records by the access-based assistant, and the locking of records by the main provider. For confidentiality purposes, patient names can be hidden from the dashboard, and the only patient information visible is the one currently seated in the treatment room chair.

ADSTRA Clinical is an ideal solution to help your dental clinic flourish and become more effective.

Solving Your Inter-Office Communication Problem

Time and time again we have seen the woes associated with inter-office communication play out in front of us; whether on TV or even in real life. The hustle and bustle of a busy office will have the overworked receptionist struggling to alert someone that their next appointment has arrived. Usually, mostly for laughs on TV, the receptionist will turn and make a scene in order to be heard. Hopefully, this is not the practice in your dental clinic.

For most businesses, an office intercom system can alleviate this issue, however – these office intercom systems are not a suitable solution in a dental clinic. While with patients performing an exam or treatment, a dental practitioner cannot respond promptly to these alerts with the patient in the chair.

How A Dental Treatment Plan Can Help Achieve Overall Health Goals

Dentists know the value of creating a good dental treatment plan for their patients. They are an important part of the record keeping that must be kept for each patient. A dental treatment plan could also play a key role in any legal inquiries years after the services were rendered. As a part of your management software, a dental treatment plan should offer you the ability to keep detailed notes of the problems, diagnoses, and proposed treatments for a patient. Your dental software should also provide you with reminders of patients with a current dental treatment plan that need to have appointments scheduled.

The overall health of patients is sometimes directly impacted by a good dental treatment plan. I’m reminded of story that a dentist told me a while back of a new patient to his practice. It seems that the patient was a recently retired senior who would never visit a dentist unless he was in pain. However, what spurred on the visit wasn’t any discomfort that he may be having – but an article that he had read on the ABC news website. The article was on ways that poor dental care can make someone sick and the following paragraph really hit home.

“Some research suggests there may be a tie between poor oral health and an increased risk of dementia. One study that followed 118 nuns between the ages of 75 and 98 found that those with the fewest teeth were most likely to suffer dementia. Experts think oral bacteria may spread to the brain through cranial nerves that connect to the jaw or through the bloodstream, and may contribute to the type of plaque that’s been linked to Alzheimer

After the initial exam, the dentist sat down with the patient to review his findings. He asked the patient why he only ever saw a dentist when something was wrong. It seems that because of his crooked teeth the patient was never happy about his smile.  When he was younger his parents couldn’t afford to fix them, so the patient figured as long as he brushed his teeth, the only need he would have for a dentist was if something was wrong.

Dental Treatment Plan

The dentist seized on the opportunity to not only allay the patient’s fear but inspire the patient to a smile that he had always wanted. He created a general dental treatment plan to bring the patient’s oral health back to where it should be. He then also created a separate Orthodontic and Periodontal dental treatment plan. When he went over the plans with the patient, the patient was so happy and encouraged that he followed every bit of advice that the dentist and his hygienists offered to improve his dental health. So much so, that on subsequent appointments the patient’s overall condition was improving faster than expected.

The dentist told me the ease with which his software allowed him to keep track and update the patient’s progress for each dental treatment plan was amazing. He said trying to juggle all three simultaneously on paper would have been much more difficult, especially when arranging to see specialists and keeping track of their results.

How A Dental Treatment Plan Can Help Achieve Overall Health Goals

The ability to create and manage a dental treatment plan is a very important feature in today’s dental software packages. Paperless planning the patients’ objectives of long-term treatments is not only convenient but also is easy to follow through completion. In addition, being able to share each dental treatment plan with all the associated specialists makes the health goals of each patient much easier to reach.
